Audit Preparation Assistant
The Audit Preparation Assistant scores how ready a client is for an audit standard by cross-referencing their quality-history evidence against each clause. It produces a readiness score, a gap pareto, and cited gap analysis for every clause that needs work, then exports a PDF report.

- The client must have at least one file uploaded in the Files tab.
- An audit standard must be activated by an administrator.
- Quality history must have been ingested for this client.
- The EnableAuditPrep feature flag must be enabled on the account.
Step-by-step walkthrough
- Navigate to /portal/clients and open the target client record. -> The client dashboard opens showing all available tabs.
- Select the Audit Prep tab. -> The tab opens in idle state showing a Start audit prep button and the non-certification disclaimer. If the tab is missing, the feature flag is not enabled.
- Read the non-certification disclaimer. -> It confirms this tool assists preparation and does not certify conformance.
- Select an audit standard from the dropdown. -> The dropdown lists all active standards (e.g., ISO 9001:2015). If empty, contact your administrator.
- Click Start audit prep. -> A loading spinner appears while clause scoring runs. This may take 10-30 seconds.
- Review the score cards: Readiness %, Covered, Partial, and Gaps. -> Covered = clauses with adequate evidence. Partial = some evidence. Gaps = no evidence found.
- Scan the clause table for Gap and Partial rows. -> Red rows require action. Yellow rows are partial and warrant review.
- Click a clause row to view its evidence details and citations. -> The evidence panel expands showing source documents and page numbers. Empty citations mean no uploaded file matched this clause.
- Click Analyze gap for any Gap or Partial clause. -> An AI-assisted gap narrative is generated using grounded quality-history evidence. Citations show the source document and page to verify the finding.
- Review the gap analysis: suggested evidence and recommended action. -> Use these as talking points with your client before the audit.
- Change the standard using the dropdown to compare readiness against a second standard. -> Score cards and the clause table reload for the new standard.
- Click Download report to export the full readiness report as a PDF. -> The portal navigates to /portal/download where the PDF is generated and saved.
Common issues
Standards dropdown is empty
No active standards have been configured. Ask your portal administrator to activate at least one audit standard before using this feature.
All clauses show Gap and citations are empty
The client has no uploaded files. Go to the Files tab, upload CAPA reports, NCRs, calibration records, and other quality documents, then return to the Audit Prep tab and click Start again.
AI gap analysis returns an error
The daily AI call quota may have been reached. Try again the following business day or contact your administrator to check quota limits.
Audit Prep tab is not visible
The EnableAuditPrep feature flag is not enabled on your account. Contact your administrator to request access to this feature.
Download report button is not visible
Audit prep has not completed yet. Click Start audit prep first, wait for the score cards to appear, then the Download report button becomes visible.
Tips
Upload recent records for best results
Upload the most recent CAPA, NCR, SPC, and calibration records for the highest clause coverage. The assistant scores based on what it can find.
Start early
Run audit prep 6-8 weeks before the audit so you have time to gather missing evidence for Gap clauses before the audit date.
Use gap analysis as a draft action plan
The gap narrative is a good starting point for client conversations. Share it before your next meeting to align on priorities and assign evidence collection tasks.
Compare standards
Switch standards using the dropdown to see how the same evidence base performs against a different standard (e.g., compare ISO 9001 vs. IATF 16949 readiness).
Preparation only — not a certification
This assistant organizes evidence and identifies preparation gaps. It does not certify, guarantee, or assert compliance with any audit standard. Final audit readiness and conformance decisions remain the responsibility of your qualified audit or quality professional.
What to do next
Missing evidence
After reviewing gaps, go to the Files tab to upload any missing evidence documents, then run audit prep again to see the updated scores.
Share the PDF
After downloading the PDF, share it with your client as a pre-audit readiness brief to align on open items before the audit.
Confirm improvements
After closing gaps and uploading new evidence, run audit prep again to confirm that covered clause count improved.
